Boiler System Preventative Maintenance and Repair Services

 

Action

Action:

A.                     Approve a contract with Mitcham and Company for the preventative and corrective maintenance services for boiler systems at Charlotte Water Facilities for an initial term of three years, and

 

B.                     Authorize the City Manager to renew the contract for up to two additional, one-year terms and to amend the contract consistent with the City’s business needs and the purpose for which the contract was approved.

Explanation:

§                     Charlotte Water uses boiler systems to provide process heat for the water treatment process.  Regular preventative maintenance and repair services are required to ensure the safe and reliable operation of this equipment.

§                     On January 24, 2017, the City issued a Request for Proposal (RFP) for Boilers, Gas System and Gas Safety Preventative Maintenance and Repair Services. In response to the RFP, the City received three proposals from interested service providers.

§                     Mitcham and Company best meets the City’s needs in terms of qualifications, experience, cost, and responsiveness to RFP requirements.  

§                     Estimated contract expenditures for the quarterly and annual preventative maintenance services are $195,000 combined over the three-year term. In addition, there will be additional costs for repair services on a time and materials basis.  These costs will be determined at the time of service.

No subcontracting goal was established because there are no subcontracting opportunities (Part C: Section 2.1(a) of the Charlotte Business INClusion Policy).
